1. Usage Rights
- All media produced by HelioBook remains our property unless a separate licensing agreement is in place.
- Media is licensed for the specific listing and marketing purposes agreed upon at the time of booking.
- Any additional uses, including print advertising, ongoing brand marketing, resale, or transfer to a third party, require prior written permission and may be subject to additional licensing fees.
- For third-party inquiries about media usage rights, please direct them to HelioBook directly.
2. Cancellations & Rescheduling
- All cancellations and reschedules must be submitted at least 24 hours before the scheduled appointment.
- Changes made within 24 hours of the shoot are subject to a 50% cancellation fee.
- No cancellation fee applies in the event of uncontrollable circumstances, such as severe weather, power outages, flooding, etc.
- If HelioBook must cancel for reasons outside those listed above and cannot arrange a suitable replacement, a 50% credit will be applied to your next booking.
- We do not automatically cancel for rain or snow. If you anticipate inclement weather affecting exterior shots, please notify us at least 24 hours in advance.
- For weather-impacted exterior photography, we offer two options:
- Return within 2 weeks at our scheduling convenience, with no additional charge.
- Schedule a priority return at your preferred time. Additional fees apply.
3. Property Preparation
- Homes should be cleaned, staged, and photo-ready upon our arrival. Please refer to the attached Photo Day Tips for guidance.
- Our photographers may adjust minor details for composition, but we do not provide staging services or move items that appear intentionally placed.
- For short-term or vacation rentals, please prepare the space as you would for incoming guests, and point out any special features or details you’d like highlighted before the shoot begins.
- If significant staging, cleaning, or rearranging is required on-site, additional charges may apply.
4. Payment
- We accept cash, check, Venmo, and credit or debit card.
- Payment is due in full before final media can be downloaded.
- Photos are typically delivered within 24 hours of payment clearing. Video turnaround varies by project and will be confirmed at booking.
- Watermarked preview images will be provided prior to payment.
- Late payments past 30 days may be subject to additional fees.
5. Reshoots & Edits
- Reshoots and additional edits are assessed on a case-by-case basis.
- If we missed something during the shoot through our oversight, we will return at no charge.
- Requests for areas or subjects not discussed during the original shoot will incur additional fees.
- We often capture more images than are included in the final delivery. If you’re looking for a specific shot, ask us first. We may already have it.
6. Delivery
- All final media is delivered through the secure HelioBook client portal, where files can be downloaded directly to your device.
- Delivery via Dropbox or Google Drive is available upon request. However, payment must still be processed through the HelioBook portal.
7. Liability
- HelioBook is not responsible for the cleaning, staging, or overall condition of the property at the time of the shoot.
- We are not liable for accidents, injuries, or damages that occur on-site.
- The client is responsible for ensuring the property is accessible and ready at the scheduled time.
